How we work

What exactly do you arrange for us?

We arrange the practical parts of a stay in Prague: airport meet and greet and private transfers, hotels, licensed guides and private tours, day trips, restaurant reservations, tickets for concerts, opera and events, and celebrations and company events. You can book a single service, such as one transfer, or let us arrange your whole stay with one contact and one itemised quote.

How does the process work, from the first email to the trip?

You send us your dates, the number of travellers and what you would like to do, by email or through the form on this website. We reply the same business day with questions or a first plan, then send a written, itemised quote. Once you confirm, we book every service, send the confirmations and, the day before, the details of your driver and guide.

How quickly do you reply?

We reply to every request on the same business day, usually within a few hours during our office hours, Monday to Saturday from 9:00 to 18:00 Prague time. Requests sent in the evening or on Sunday are answered on the next business day. During your trip, you receive a contact number for anything urgent.

Do I pay you or each provider separately?

Your quote states clearly whom you pay for each service. In most cases you pay us for everything we arrange, and we pay the drivers, guides, hotels and venues. For a few services, such as some hotels or event tickets, you may pay the provider directly, and the quote tells you so before you book.

How and when do I pay?

Payment methods, deposits and due dates are stated in every quote. For most bookings, a deposit confirms the services and the balance is due before your arrival. You receive an invoice for every payment, and large programmes for groups or companies can be paid in agreed instalments.

What is your cancellation policy?

Cancellation terms depend on the service and are stated in your quote before you book. For services we provide ourselves, such as transfers and guides, cancelling is free until the deadline in your quote. Hotels, venues and some tickets follow their own rules, which we pass on to you in writing. Our cancellation policy page explains the details.

Are you a travel agency or a tour operator?

PraguePrivate is a travel agency, a cestovní agentura under Czech law. We arrange individual travel services such as transfers, hotels, guides, tickets and tailor-made programmes, each listed separately in your quote. We do not organise or sell package holidays, which in the Czech Republic only a licensed tour operator, a cestovní kancelář, may do.

Which languages do you work in?

You can write to us in English, Czech, Turkish or Spanish. Our licensed guides work in English, Spanish and Turkish, and in other languages depending on availability. Tell us your preferred language when you ask for a quote, and we confirm the guide for your dates.

Guides and tours

Are your guides licensed?

Yes. Every guide we work with holds the Czech National Guide Card, issued by the Ministry of Regional Development, which the law has required for guiding for pay since 2021. Guides must wear the card visibly while guiding. Many of our guides have also passed the Prague guide exam, and your confirmation includes the name of your guide.

What does the Prague City Tourism guide certificate mean?

Prague City Tourism, the official tourism organisation of the City of Prague, runs the course and exam for the professional qualification Tour Guide in Prague. Guides who pass it have proven detailed knowledge of the history, art and architecture of the city, and they can receive the higher degree of the Czech National Guide Card.

Can I customise a tour or combine two tours?

Yes. Every tour we arrange is private, so the route, pace and length can be adjusted to your group. You can combine Prague Castle with the Jewish Quarter, add a lunch stop, shorten a walk for children or cover part of the route by car. Tell us what matters to you and we suggest a plan.

How many people can join a private tour?

A private tour is only for you and your group, whether you are two people or twenty. For walking tours we recommend about 20 to 25 people per guide, so everyone can hear and ask questions. Larger groups are split between several guides, and radio headsets are available on request.

Do tours run in rain, snow or winter?

Yes, tours run in all weather, and Prague is beautiful in every season. In rain or cold we adjust the route with more indoor stops, such as churches, museums or a café, and a car can shorten outdoor walks. If the weather makes a tour unsafe, we propose a new time or date.

Are entrance tickets included in tours?

Entrance tickets are listed separately in your quote, so you can choose which sites you want to enter. We book tickets in advance where it saves time, for example for Prague Castle, the Jewish Museum or a concert, and your guide handles them on the day.

Do you offer tours for children, seniors or wheelchair users?

Yes. We plan family tours with stories and breaks for children, relaxed tours by car for seniors, and routes with fewer steps for travellers with limited mobility. The historic centre has cobblestones and hills, so tell us about any mobility needs and we plan a realistic route with accessible entrances and a vehicle where needed.

Can a tour start at my hotel, the airport or the train station?

Yes. Most private tours start at your hotel, and a tour can also be combined with your arrival or departure. A driver meets you at the airport or the main railway station, you see the highlights with a guide while your luggage stays in the vehicle, and then you continue to your hotel or your next flight.

Airport and transfers

Where do we meet the driver at Prague airport?

In the arrivals hall of your terminal at Václav Havel Airport, after baggage claim and customs. Flights from outside the Schengen area arrive at Terminal 1, flights from Schengen countries at Terminal 2. Your driver waits with a sign showing your name, and you receive the driver's name and phone number the day before.

What happens if my flight is delayed or cancelled?

We track your flight and adjust the pick-up time automatically, so you do not need to call us about a delay. The free waiting time starts when your plane actually lands. If your flight is cancelled or diverted, send us the new flight details and we rearrange the transfer.

How long is the free waiting time at arrivals?

Up to 60 minutes after the actual landing time, which is enough for passport control and baggage claim on most flights. For hotel pick-ups the waiting time is stated in your confirmation. If you need more time, for example because of lost luggage, call your driver and we adjust.

Do you provide child seats?

Yes. Child seats and booster seats are available on request for all private transfers and tours by car. Czech law requires them for children under 150 cm and 36 kg. Tell us the ages of your children when you book, and we fit the right seats before the driver arrives.

How long does the transfer to the city centre take?

Václav Havel Airport is about 17 km from the historic centre of Prague. By car the drive usually takes 25 to 45 minutes, depending on traffic and the location of your hotel. Weekday rush hours in the morning and late afternoon are the slowest times.

Is it safe to take a taxi at Prague airport?

Yes, if you use the airport's official taxi service, a ride-hailing app or a pre-booked transfer. The official service in front of the terminals is Uber Airport, with the price shown before you book. Avoid drivers who approach you inside the arrivals hall. A pre-booked transfer gives you a known driver who waits with your name and a confirmed price.

Can you arrange coach transfers for groups?

Yes. We arrange minibuses and coaches for groups of any size, coordinate several arrival flights and can place a host or guide at the airport to welcome your guests. Each vehicle is sized for the group and its luggage, and we plan the drop-off at hotels in the historic centre, where coach access is regulated.

Do you arrange transfers to Vienna, Dresden or Budapest?

Yes. We arrange private transfers from Prague or directly from the airport to other cities, including Vienna, Dresden, Berlin, Munich, Budapest, Karlovy Vary and Český Krumlov. You can add sightseeing stops on the way, for example in Český Krumlov between Prague and Vienna.

Day trips

Which day trip from Prague is best if we have one day?

Choose Kutná Hora for history and the Bone Church, Karlštejn for a castle close to Prague, or Český Krumlov if you do not mind a long day for the most beautiful small town in the country. Terezín is a moving choice for twentieth-century history, and Karlovy Vary is ideal for an easy, flat day.

How far are Český Krumlov, Kutná Hora and Karlovy Vary from Prague?

Kutná Hora is about 80 km from Prague, roughly 70 minutes by car. Karlovy Vary is about 130 km away, just under two hours. Český Krumlov is about 170 km away, around two and a half hours each way, so it is a long day or a good reason to stay one night.

Can we combine two destinations in one day?

Yes, when they lie in the same direction. Good pairs are Karlštejn with Konopiště, Terezín with the nearby town of Litoměřice, and Český Krumlov with Hluboká Castle or České Budějovice. Combining two places in different directions makes the day too long, and we tell you honestly when a plan does not work.

Do we need passports for Dresden or Vienna?

Yes, carry them. Germany and Austria are in the Schengen area with the Czech Republic, but border checks can take place, so every traveller needs a valid passport (EU, EEA and Swiss citizens may use a national identity card). Visitors who need a Schengen visa must hold one that is valid for these countries too.

Are entrance fees included on day trips?

Entrance fees are listed separately in your quote, so you decide which sites to enter. We book timed tickets in advance where needed, for example for Český Krumlov Castle or the Chapel of the Holy Cross at Karlštejn, and your guide or driver handles them on the day.

What time do day trips start and end?

Because every trip is private, you choose the start time. Most guests leave their hotel between 8:00 and 9:00. Half-day trips such as Karlštejn or Konopiště return in the early afternoon, and full days such as Český Krumlov or Dresden return in the early evening.

Hotels, restaurants and tickets

Can you book our hotel, and which district should we stay in?

Yes. We book hotels in all categories and districts, from boutique hotels in Malá Strana to large hotels for groups. For a first visit we usually suggest the Old Town, Malá Strana or the New Town near Náměstí Republiky, within walking distance of the sights. Groups are better placed near a metro station with coach access.

Can you reserve restaurants for a group or for dietary needs?

Yes. We reserve tables in traditional restaurants, fine dining and private rooms for groups, and we agree set menus in advance. Tell us about vegetarian, vegan, gluten free, halal, kosher or allergy needs when you ask, and we book only restaurants that confirm they can meet them.

Can you get opera, concert or ice-hockey tickets?

Yes. We book tickets for the National Theatre, the State Opera and the Estates Theatre, classical concerts in the Rudolfinum, the Municipal House and historic churches, and ice-hockey or football matches when tickets are available. We tell you what is on during your dates and book the seats you choose.

Can you organise a dinner cruise on the Vltava?

Yes. We arrange dinner cruises on the Vltava, from regular evening cruises with a set menu to private boats for families, celebrations and company events. A cruise combines well with an evening walk through the Old Town and across Charles Bridge before you board.

Can you arrange a folklore evening or a Czech beer tasting?

Yes. We arrange Czech beer tastings, brewery visits and food tours with a local guide, and traditional dinners with folk music for groups. Tell us the size of your group and the evening you have in mind, and we suggest options that fit your plans.

Celebrations and company events

Can you organise a birthday, proposal or anniversary in Prague?

Yes. We plan birthdays, proposals, anniversaries and other celebrations: a private dinner with a view, a boat on the Vltava, a photographer at sunrise on Charles Bridge, flowers, a cake or live music. You tell us the idea and your budget range, we suggest a plan and arrange every detail discreetly.

Can you plan a corporate event or team building?

Yes. We arrange company dinners, team building activities, meetings and gala evenings for teams from about ten to two hundred people, and larger events on request. We find the venue, catering, transport, guides and entertainment, and one project manager coordinates everything from the first brief to the last transfer.

Do you handle incentive trips and MICE programmes?

Yes. We arrange incentive trips, meetings, conferences and events for companies and agencies from abroad: hotels, venues, transfers, guided programmes, gala dinners and support on site. As a local partner we can work directly with your company or behind your agency's brand.

Do you organise company Christmas parties in Prague?

Yes. We arrange company Christmas parties, known in Czech as firemní vánoční večírek, for teams of all sizes: a private room in a restaurant, a historic venue, a boat, or a Christmas market walk followed by dinner. December dates fill up early, so we recommend starting to plan in September or October.

Do you arrange programmes for foreign delegations and business partners?

Yes. We arrange programmes for foreign delegations and business partners visiting Prague: airport welcome, hotels, transport, interpreters on request, guided sightseeing, business dinners and cultural evenings. We adapt the programme to the protocol and schedule of the visit and stay in contact with your team throughout.
