Prague airport transfers for groups: options and what to watch out for

Arrival is the first part of any trip, and often the most stressful. For one guest, a taxi will do. For a group of twenty people arriving on three different flights, with suitcases, pushchairs and a golf bag, the airport transfer becomes a small logistics operation. Here are the options you have, and the mistakes that are easy to avoid.
Key facts about Prague airport
- Václav Havel Airport Prague is about 17 km from the city centre. The drive usually takes 25 to 45 minutes, depending on traffic.
- Terminal 1 handles flights from outside the Schengen area, and Terminal 2 flights from Schengen countries.
- Guests on non-Schengen flights go through passport control after landing, so build that time into your plan.
- There is no rail link between the airport and the centre yet; one is expected to open in 2032 at the earliest.
With a larger group, check the terminal for every flight. Guests travelling to the same event can easily land at both terminals, and then you need two meeting points.
Which vehicle for which group
Choose the vehicle by the number of people and by their luggage. A suitcase packed for a week takes up more room than you might think.
- Car: one to three passengers with standard luggage.
- Van: families and small groups, usually up to seven or eight passengers.
- Minibus: groups from about ten people.
- Coach: larger groups, up to a full coach. On request, a guide on board welcomes your guests and tells them a little about Prague on the way.
- Business class and VIP: premium cars for heads of delegations and prominent guests.
For groups with bulky luggage, skis or golf equipment, it pays to go one size up. The same goes for guests with a wheelchair or with pushchairs.
One flight or several?
The hardest groups to plan for are those arriving on different flights. You have two basic options:
- One large vehicle that waits for everyone. Fewer vehicles, but the first guests may wait at the airport for several hours.
- Several smaller vehicles, timed to the flights. Each flight has its own departure and nobody waits longer than necessary. This needs precise coordination, though.
A combination of both often works best: the main group travels by coach, and guests on earlier or later flights take a smaller vehicle. For larger events, our representative can wait at the airport, welcome your guests and send them to the right vehicle.
Example: forty guests on three flights
Imagine a conference with forty participants flying in. Two groups land at Terminal 2 in the morning, the third at Terminal 1 in the afternoon. A sensible plan is one coach that takes both morning groups together, and a smaller vehicle for the afternoon flight, sized to the number of passengers. The representative at the airport has the name list, ticks people off as they arrive and makes sure nobody is left behind in the hall. Every guest receives one message in advance with the terminal, the meeting point and a description of the sign. If one flight is delayed, its vehicle simply leaves later and the others do not have to wait for it.

Arriving at a hotel in the city centre
Tour coaches may not enter Prague's historic centre, and ordinary coaches cannot get the special permit that would let them in. They may drop off and pick up passengers only at designated coach stops, for up to 15 minutes, and wait in designated coach car parks in between. If the hotel is in a pedestrian zone or a narrow street, expect a short walk with the suitcases. It helps to know this in advance and tell your guests, or to choose smaller vehicles, which can usually stop closer.
What to prepare before arrival
The better the information, the smoother the transfer. Send us:
- The names of your guests and their flights: flight number, arrival time and where they are flying from.
- The number of bags and details of any special luggage.
- The ages of any children, for the child seats.
- Any reduced mobility or need for a wheelchair.
- The hotel address and, if there is one, the first item on the programme after arrival.
Then send your guests simple instructions: where to meet, what the sign will look like and who to contact if something is delayed.
Departure: what not to forget
The transfer to the airport is planned the other way round. You start from the departure time and the airline's advice on when to be at the airport, then subtract the drive, which usually takes 25 to 45 minutes depending on traffic, and a buffer for loading the luggage. For a group on several flights, again plan the departures around the flights. Tell your guests the pick-up time by the evening before at the latest, ideally through the hotel reception as well, and agree where the suitcases will wait if guests check out of their rooms before they leave.
When something goes wrong
- Lost luggage. The guest must report it in the baggage claim hall, before going through to arrivals. This takes a while, so let us know and we will agree how long the driver should wait.
- Missed connection. The guest arrives on a different flight from the one planned. Just send us the new flight number and we will reschedule the pick-up.
- A guest cannot find the driver. That is why we send the driver's name and the exact meeting point in advance, and why guests know who to contact.
The most common mistakes
- Underestimating the luggage. Twelve people fit into a minibus; their suitcases for a week do not always.
- One vehicle for three flights. The first guests then wait at the airport for hours.
- Forgetting the departure. The transfer to the airport matters as much as the arrival. The time you leave the hotel must match the airline's check-in advice.
- An unclear meeting point. Guests on non-Schengen flights come out at a different terminal from everyone else.
- Relying on taxis for the whole group. Uber is the airport's official taxi partner, while other taxi companies and apps pick up passengers at the P1, P2 and PB EXPRESS car parks. For a group, that means several cars, several payments and guests scattered across the city.

Where does the group meet the driver?
In the arrivals hall of the terminal where the flight lands, after baggage claim. Terminal 1 handles flights from outside the Schengen area and Terminal 2 flights from Schengen countries. The driver or our representative holds a sign with the guest's name or the name of the group.
What if the flight is delayed?
We track the flight, so we know about a delay before the group lands and move the pick-up accordingly. After the actual landing we wait 60 minutes free of charge, which is usually enough for baggage claim and passport control.
Can a group take public transport from the airport?
For individual travellers with light luggage it is a good choice: trolleybus 59 takes about 17 minutes to Nádraží Veleslavín on metro line A, bus 100 runs to Zličín on metro line B, and the Airport Express bus goes to the main railway station, although regular Prague public transport (PID) tickets are not valid on it. For a group with suitcases it is slow and impractical.
